1. Information we collect

Depending on how you interact with Yurai, we may collect:

Information you provide directly

When you submit an enquiry or request an assessment, this may include:

• your name
• email address
• business name
• business website
• the service or assessment you are interested in
• information you provide about your business, challenges or priorities
• any other information you choose to provide

If you become a client, we may also process information required to communicate with you, deliver the agreed services, manage the client relationship and issue invoices.

Website and analytics information

When you visit the website, certain technical and usage information may be collected through analytics and tracking technologies, subject to your cookie choices. This may include information such as:

• pages visited
• interactions with the website
• referral source
• approximate location
• browser and device information
• IP address
• advertising or analytics identifiers

Yurai may use services such as Google Analytics, Google Tag Manager, Google Ads and Meta technologies for website measurement, advertising measurement and conversion tracking.

Non-essential analytics and advertising technologies will only be activated where the required consent has been provided.

Yurai does not currently use enquiry details to send general marketing newsletters unless you have separately agreed to receive them.

Depending on the circumstances, this may include:

• Steps before entering into a contract or performance of a contract — for example, when you request an assessment, engage Yurai or provide information necessary for us to deliver agreed services.
• Legitimate interests — where necessary to operate and improve Yurai, communicate appropriately with prospective or existing clients, maintain business records, and protect our systems, provided those interests do not override your rights and interests.
• Consent — where required, including for non-essential analytics and advertising cookies or similar tracking technologies.
• Legal obligations — where information must be retained or processed to comply with applicable legal, accounting or tax requirements.

4. Business assessments and client data

As part of providing assessments, consultancy and implementation services, clients may provide Yurai with business information and data from platforms such as website analytics, advertising platforms, social media platforms, CRM systems, booking systems, spreadsheets or other business tools.

Where possible, Yurai aims to work with aggregated, anonymised or non-identifiable information where individual-level personal data is not necessary for the analysis.

Where Yurai processes personal data relating to a client's customers, leads, employees or other individuals solely on the client's instructions, the client will generally act as the data controller and Yurai will act as a data processor.

Where required, this processing will be governed by an appropriate data processing agreement.

5. Use of AI-assisted tools

Yurai may use artificial intelligence and other technology-assisted tools to support analysis, research, reporting, workflow improvement and delivery of services.

Where client information is processed using these tools, Yurai aims to minimise the personal data shared and, where practical, use aggregated, anonymised or non-identifiable information.

Where an AI or technology provider processes personal data on Yurai's behalf, Yurai will assess the relevant data protection arrangements and use appropriate safeguards.

Where Yurai is acting as a processor on behalf of a client, third-party providers that process the client's personal data may constitute sub-processors and will be handled in accordance with applicable contractual and data protection requirements.

Yurai does not use AI to make solely automated decisions that produce legal or similarly significant effects about website visitors or prospective clients.

6. Who we share information with

Yurai may use trusted third-party service providers to operate the business and deliver services. Depending on the services being used, these may include providers of:

• email and business productivity services
• website hosting and infrastructure
• analytics and measurement
• advertising and conversion measurement
• automation and integration tools
• AI-assisted analysis and productivity tools
• accounting and invoicing
• data storage
• other professional or technical services

These providers may process personal data only where necessary for the relevant service and subject to appropriate data protection arrangements where required.

Yurai does not sell your personal data.

7. International data transfers

Some technology providers used by Yurai may process or store information outside Ireland or the European Economic Area.

Where personal data is transferred internationally, Yurai will rely on an appropriate transfer mechanism where required under applicable data protection law, such as an adequacy decision or appropriate contractual safeguards.

8. How long we keep information

Yurai keeps personal data only for as long as reasonably necessary for the purpose for which it was collected, including to provide services, manage business relationships and meet legal, accounting or tax requirements.

The appropriate retention period depends on the type of information and why it is being processed.

For example, an unsuccessful or inactive enquiry may be deleted when it is no longer reasonably required, while records relating to completed client work, contracts and invoices may need to be retained for longer for business or legal purposes.

Where Yurai processes personal data solely on behalf of a client, retention and deletion will also be governed by the relevant client agreement or data processing agreement.

9. How we protect information

Yurai takes reasonable technical and organisational measures to protect personal data against unauthorised access, disclosure, alteration, loss or misuse.

These measures may include access controls, secure business accounts, authentication controls, appropriate permissions, backups and careful selection and configuration of technology providers.

No internet-based system can be guaranteed to be completely secure, but Yurai aims to use safeguards appropriate to the nature of the information being processed.

10. Cookies and tracking technologies

Yurai may use cookies and similar technologies to operate the website, understand website usage and measure marketing performance. These may include:

• Necessary technologies — required for the website to function.
• Analytics technologies — used to understand website usage and performance.
• Advertising and measurement technologies — used to understand conversions and the effectiveness of advertising.
